So, where do you begin? With dates booking up fast during peak spring and fall weekends, having a clear timeline can help you stay ahead, stress less, and enjoy the process. Below we’ve mapped out a 12-month planning guide with tips tailored to help you make the most of everything Pointe D’Vine has to offer.
12 Months Out: Lock in Your Date + Venue
The first big milestone is securing your venue, especially if you’re eyeing a spring or fall date, which tend to book the fastest.
Explore your options:
- The Hilltop Room: A breathtaking outdoor ceremony site with panoramic views; it’s especially stunning in peak fall foliage.
- The Vineyard: Rows of grapevines and that romantic, golden-hour glow.
- The Ancestral Barn: A timeless indoor space that pairs rustic charm with elegant details.

9–10 Months Out: Secure Key Vendors
Once your venue is booked, it’s time to start building your dream team. This includes:
- Wedding planner or day-of coordinator
- Photographer/videographer
- Caterer (Pointe D’Vine offers pre-approved catering options)
- Florist
- DJ or live band
We highly recommend choosing vendors who have experience with our venue spaces. They’ll already understand the flow, lighting, and setup options for each space we offer, saving you time and headaches.
6–8 Months Out: Design the Experience
This is when things start to feel real! With the major vendors locked in, you can now:
- Send “Save the Dates” (Pointe D’Vine offers a discount for clients with minted.com)
- Finalize your guest list
- Choose your wedding party’s attire
- Book accommodations for out-of-town guests
It’s also a great time to dive into design choices: table decor, floral palettes, signage, and ceremony details. Need inspiration? Pointe D’Vine’s natural scenery and architectural backdrops do a lot of the heavy lifting, especially during lush spring blooms or crisp fall color shows.
4–5 Months Out: Finalize Details + Review Investment
As the date approaches, it’s time to:
- Choose your menu and bar options (make sure to budget beverages accordingly!)
- Finalize the ceremony and reception timeline
- Confirm rentals (tables, linens, décor items)
This is also when we’ll send you helpful questionnaires to gather details about your event and ensure expectations are clear. Any contract adjustments along the way are handled through amendments, so there are no surprises.
2–3 Months Out: Invitations + Tastings
With most of the big decisions made, you can now:
- Send invitations
- Book a menu tasting with your caterer (a great time to add in a wine tasting at 57&VINE)
- Create your seating chart or at least decide table reservations for immediate family
- Finalize ceremony scripts or readings
This is also the moment to think through final logistics, such as day-of deliveries, transportation for wedding party or guests, or activities during cocktail hour.
1 Month Out: Touch Base + Tour Again
One month out, you’ll want to:
- Confirm all vendor timelines
- Send your final headcount
- Walk through the venue again, if possible

Summertime is especially busy on the property as we manage both the grounds and our indoor spaces, so we encourage appointments whenever possible. For convenience, a secure drop box is also available on-site for payments.
Wedding Week: Relax, Rehearse, and Celebrate
The finish line is in sight! Use this week to:
- Hold your rehearsal (on-site if possible)
- Pack your wedding day essentials
- Delegate final tasks
- Take a moment to breathe and take it all in
